Privacy Policy
Royal Lighting handles your data with care. This privacy policy explains which personal data we process, for what purpose, and what rights you have under the General Data Protection Regulation (GDPR).
What data do we process?
Because we supply trade customers only, we mainly process company details and the contact details of your contacts:
- Company name and registered address
- KvK number and VAT number
- Name and role of the contact person
- Email address and phone number
- Order and quote history
- Invoicing and payment details
Purposes of processing
We use your data for the following purposes:
- Account management: reviewing your account application and managing your trade account
- Order handling: processing and delivering orders
- Preparing and following up on quotes
- Invoicing and accounts receivable management
Legal basis
We process your data on the basis of the following legal grounds: performance of the agreement (account management, orders, quotes and invoicing), our legitimate interest (maintaining the trade relationship and improving our service) and compliance with legal obligations (including tax record-keeping requirements).
Retention periods
We do not keep your data for longer than necessary for the purposes for which it was collected. Administrative data, including invoices and order records, is subject to the statutory 7-year tax retention period. We keep account data for as long as your account is active; after closure we delete or anonymise it within a reasonable period, except for data we are legally required to keep for longer.
Sharing with third parties
We do not sell your data to third parties. We only share data with parties that are necessary for our service:
- Hosting providers to run our webshop and systems
- Resend, for sending transactional emails such as order confirmations and account messages
- Our own privacy-friendly analytics tracker (first-party); no data is shared with external advertising platforms
- Carriers, for delivering your orders
Where required, we enter into a data processing agreement with parties that process personal data on our behalf.
Your rights
Under the GDPR you have the right to access, rectify and erase your personal data, the right to object to processing and the right to data portability. You can submit a request via [email protected]. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, including encrypted connections (HTTPS) and restricted access to systems.
